PowerPoint Accessibility Technical Standard 1: Unique Slide Titles
The “Why” Behind the Standard
Screen‑reader users often navigate a presentation by opening a list of slide titles to jump directly to the information they need. If a slide has no title, the screen reader may announce only the slide number, which provides no context. If multiple slides share the same title, users cannot easily determine which slide contains the content they are looking for.
The Goal: Every slide must include a text‑based title that is unique within the presentation.
Step 1: Use Built‑In Slide Layouts
The most reliable way to ensure a title is recognized by assistive technology is to use PowerPoint’s built‑in title placeholders.
- Go to the Home tab.
- Select New Slide or Layout.
- Choose a layout that includes a Title placeholder (all except the “Blank” layout).
- Click inside the box labeled “Click to add title” and type a descriptive heading.
Step 2: Identify Missing Titles
For large presentations, PowerPoint can automatically identify slides that are missing titles.
- Go to the Review tab.
- Select Check Accessibility.
- In the Accessibility Pane, review items listed under Errors.
- If “Missing Slide Title” appears, expand the list.
- Selecting a slide number takes you directly to the slide that needs a title.
Step 3: Create Unique Titles for Multi‑Slide Topics
If a topic spans multiple slides, do not repeat the same title on each slide. Instead, differentiate them using one of the following approaches:
- Sequential numbering:
- Financial Aid Requirements (1 of 3)
- Financial Aid Requirements (2 of 3)
- Financial Aid Requirements (3 of 3)
- Sub‑topic labeling:
- Financial Aid Requirements: Deadlines
- Financial Aid Requirements: Documentation
- Financial Aid Requirements: Eligibility
Step 4: Hide Titles Visually (When Needed)
For design‑focused slides, you may wish to hide the title visually while keeping it accessible to screen readers. Do not delete the title placeholder.
- Enter a unique title in the Title placeholder.
- Go to the Home tab.
- Select Arrange (in the Drawing group), then choose Selection Pane.
- Locate the title object (for example, “Title 1”) in the Selection Pane.
- Select the Eye icon next to the title to hide it visually.
Result: The title is invisible on the slide but remains in the underlying structure, allowing screen readers to announce it.
Step 5: Final Validation
- Go to the View tab.
- Select Outline View.
- Review the outline pane: every slide number should have visible text beside it.
- Blank entries indicate missing titles, and duplicate entries indicate non‑unique titles.
