President

  1. Serve as Chairperson of the Executive Council.

  2. Conduct Executive Council meetings, for the purpose of planning and assigning duties.

  3. Preside over all chapter’s day and evening meetings.

  4. Present business to the general membership.

  5. Represent the chapter at all times.

  6. Inform officers and advisors of all meeting times and locations, and prepare meeting agendas and lead meetings.

  7. Speak (impromptu and prepared) at conferences, meetings, and ceremonies.

  8. Coordinate and host the Orientation and Induction Ceremonies.

  9. Conduct general meetings as planned in Executive Council meetings.

  10. Work with Advisors and other officers in obtaining the names of students who are eligible
    for Phi Theta Kappa membership.

  11. Send out invitation letters to potential members.

  12. Oversee the implementation of service, fellowship, and academic events.

  13. Vote only in case of a tie.

  14. Serve as an ex-officio member on all committees.

  15. Appoint an officer or committee to review and/or revise the chapter bylaws annually.

  16. Appoint an officer committee to prepare the Annual Report to be sent out to Headquarters each spring.

  17. Takes over the responsibilities of another office should it be vacated for any reason.

  18. Appoint and establish any necessary committees.

  19. Develop goals for the chapter with the help of the advisor and other officers.

  20. Oversee chapter projects and award entry preparations

Vice President of Leadership:

  1. Assume the duties of the President in his or her absence.

  2. Participate in the Orientation and Induction Ceremonies.

  3. Coordinate all committees.

  4. Head the committee reviewing the chapter bylaws and annual report.

  5. Participate in the Orientation and Induction Ceremonies.

  6. Direct the chapter in the use of parliamentary procedure for meetings,

  7. Oversee all leadership activities.

  8. Prepare the Leadership Hallmark Award entry for the Hallmark Awards Program.

Vice President of Scholarship:

  1. Responsible to plan, coordinate, and oversee the events relating to the Honors Study Topic.

  2. Participate in the Orientation and Induction Ceremonies.

  3. Encourage academic excellence and participation.

  4. Prepare the Scholarship Hallmark Award entry for the Hallmark Awards program. 

Vice President of Service:

  1. Plan and oversee the oversee the International Service Program activities .

  2. Shall be the liaison with appropriate college and community officials to facilitate all
    chapter service projects on campus and in the community.

  3. Seek volunteers.

  4. Participate in the Orientation and Induction Ceremonies.

  5. Encourage volunteerism and community service.

  6. Prepare the Service Hallmark Award entry for the Hallmark Awards program.

Vice President of Fellowship:

  1. Responsible for organizing, implementing, overseeing the chapter's social activities.

  2. Arrange fellowship meetings with other chapters and campus clubs.

  3. Coordinate travel to official Phi Theta Kappa activities.

  4. Maintains relationships with other organizations and faculty on campus and forges ties within the communities surrounding the college.

  5. Participate in the recruiting and fellowshipping of prospective members.

  6. Participate in the Orientation and Induction Ceremonies.

  7. Encourage scholarly fellowship at all levels of the organization.

  8. Prepare the Fellowship Hallmark Award entry for the Hallmark Awards program.

The Secretary of Recording:

  1. Take minutes at each chapter meeting and present those minutes at the following meeting.

  2. Shall prepare and maintain the chapter scrapbook (current files of photos, fliers, etc) for state, regional, and international meetings and conventions.

  3. Keep records of all chapter activities; keep and place all records in the official record book at the end of the year

  4. Report chapter activities to Phi Theta Kappa International Publications.

  5. Give Chapter updates on the Five-Star Program.

  6. Submit to Regional Coordinator and Headquarters reports of chapter activities and Five-Star Chapter Update Forms.

  7. Help prepare the International Reports with others designated by the President.

Vice President of Finance:

  1. Maintain a bank account for the chapter.

  2. Receive all money and receipt it, turn all money in to advisor or business office the next school day.

  3. Remain in contact with the business office in the chapter’s financial picture.

  4. Present a financial report at every other business meeting.

  5. Place all records in the official record book at the end of the year. (Our treasurer does not write checks, all expenses go through the business office and must have a purchase order ‘PO’ for disbursement).

Vice President of Public Relations:

  1. Promote the chapter at all levels of the organization (in activities ranging from keeping the bulletin boards current to creating banners for upcoming events)

  2. Submit articles and press releases to the campus and community newspapers.

  3. Create a chapter newsletter on a regular basis.

  4. Take photographs at all chapter activities.

Vice President of Technology:

  1. Responsible for keeping Beta Kappa Pi’s web page updated.

  2. Works with the Secretary of Public Relations to attain information on dates, events, and photos to input into the web page.

Vice President of Membership:

  1. Promote the chapter’s membership at all meetings, orientations, and campus events.

  2. Input all new members on the Phi Theta Kappa website link ‘eMembers.’

  3. Create and market new ways to increase membership and meeting attendance.

  4. Work with other officers to create memberships through their activities.

  5. Sign up new members during the chapter’s orientations.

Emailer:

  1. Responsible for ‘replying’ to all emails on the chapter’s website.

  2. Will contact the appropriate officer, advisor, or Phi Theta Kappa headquarters to obtain the correct answer to questions before replying to emails.

Leadership Committee Chair:

  1. Market and create a group of members who would like to participate in the chapter’s activities on an ongoing basis.

  2. Provide assistance to other officers during activities and events.

  3. Inform and recruit Phi Theta Kappa members for upcoming events and activities.

Coordinator of Scholarships:

  1. Make updated announcements of current and future available scholarships offered by Phi Theta Kappa and Chaffey College, at each chapter meeting.

  2. Keep the VP of Technology (website ) updated with current and future scholarships offered by Phi Theta Kappa and Chaffey College.

  3. Provide any written information or forms at the chapter meetings regarding the particular scholarship. (if available)
